Cascade Privacy Notice

Cascade Tax Technologies, Inc. (“Cascade,” “we”) makes partnership tax software for accounting firms. This notice explains what personal information we collect through our website and services, how we use it, and the choices you have.

Most information in our platform is uploaded by our customers (accounting firms) on behalf of their clients. We process it under our customer agreements and on the customer’s instructions. Customers are responsible for having the authority to share it with us and for their own privacy notices.

What we collect

• Contact and account details, such as your name, work email, firm, and login credentials.
• Messages you send us, including inquiries, support requests, and feedback.
• Documents and data uploaded by customers, such as tax workpapers, returns, and related records. These may include taxpayer identification numbers and financial information.
• Technical data, such as IP address, browser type, session activity, and security logs.

We get this information from you, your firm, authorized users, integrations you connect, and automatically when you use the services. Our application uses session cookies to keep you logged in and the services working. Our website uses cookieless, aggregate analytics to measure page views and site performance, and stores in your browser how you arrived at the site (for example, a referring site or campaign link). If you sign up on our website, that referral information is sent to us with your email address. We do not use advertising or cross-site tracking cookies.

How we use it

• To provide and support the services, including processing the documents you upload.
• To manage accounts and communicate with you about the services.
• To maintain, secure, and improve the services.
• To comply with legal obligations.

Where the law requires a legal basis, we rely on performance of our contract with you, our legal obligations, our legitimate interest in operating and securing our business, or your consent.

Your choices

You can decline to provide optional information, though some information is required to use the services. You can opt out of marketing emails at any time; we may still send account and security notices. Where consent is required, we ask before processing, and you can withdraw it by contacting us.

Accuracy

Please keep your information current and only share other people’s information when you’re authorized to. If something we hold is wrong, tell us or your firm and we’ll correct it.

Who we share it with

We use service providers to run the services: cloud hosting and storage, authentication, email and support tools, security monitoring, website analytics, and AI model providers. When you use AI features, the relevant inputs (which may contain personal information) are sent to the model provider. Each provider is bound by a written agreement and may only use the information to provide its service to us.

We also share information with other authorized users at your firm and with integrations your firm connects. We may disclose information when required by law, to protect security or legal rights, to our professional advisers, or as part of a merger or acquisition.

We do not sell personal information.

How long we keep it

We keep personal information as long as needed to provide the services and meet legal and contractual obligations. After a customer agreement ends, we delete customer data from active systems within 90 days, and backup copies expire within a further 90 days. Legal holds or disputes may require longer. When information is no longer needed, we delete it or de-identify it.

How we protect it

We use access controls, encryption in transit and at rest, logging, and other safeguards appropriate to the sensitivity of the information. No system is perfectly secure, and we can’t guarantee absolute security.

Your rights

Depending on where you live, you may have the right to access, correct, delete, or receive a copy of your personal information, object to or restrict certain processing, or withdraw consent. To make a request, email info@cascade.tax. We’ll verify your identity before responding and reply within the time the law requires. Please don’t include taxpayer identification numbers or tax documents in your first message.

If your information was uploaded by an accounting firm, contact that firm first. We’ll assist them as our agreement and the law require. We investigate privacy complaints and take corrective action where needed. You may also complain to your local data protection regulator.

Changes to this notice

We review this notice at least once a year and whenever our practices change materially. We post the updated date at the top, notify customers of material changes (including any new use of personal information), and obtain consent where required.
